Johku Pro and Johku Max Available now

Sales figures from years back can still be useful when you no longer need your customers' personal data. Johku's anonymization permanently replaces the personal data in orders, receipts and bookings with anonymous data. You choose the data to process and the cutoff date, and your sales figures stay.

How long may you keep customer data?

Under the GDPR, personal data must not be kept longer than necessary. Finland's Accounting Act, on the other hand, requires accounting records to be kept for at least six years from the end of the year in which the financial period ended. Between these, you decide up to which day old data is anonymized, and you agree on the cutoff with your accountant. As the data controller, you are responsible for the data yourself.

Anonymous by date, sales figures kept

By date, not one customer at a time

Johku processes the orders, receipts and bookings you choose up to the cutoff date, including the chosen day. By default, the cutoff is three years back. Check and set a cutoff that fits your situation before the run.

Sales figures stay

When personal data is replaced with anonymous data, reports still work, but they no longer show who ordered. You choose whether anonymized data shows as asterisks, as generic labels such as the order number, or as made-up names.

Preview before the run

Before the run, you see how many orders, messages, receipts and bookings it affects. At the same time, you choose whether to also delete customers that nothing refers to anymore.

Good to know

  • Anonymization cannot be undone, so check the preview before the run. Before the run, save any customer-specific reports you may need later.

  • Agree on the cutoff with your accountant. On invoices sent to businesses, the buyer's details are mandatory, so anonymization must not weaken your accounting records.

  • Anonymization does not replace handling an individual customer's erasure request: it removes data only up to the day you choose. As the data controller, you handle the requests yourself, and the Johku Support guide (in Finnish) explains how anonymization relates to them.

  • The run is done by a user with access to the settings in Johku admin.

Availability

  • Products and industries: all industries; applies to orders, receipts and bookings, not to product types

  • Price: included in Johku

Getting started

Anonymization is in the settings of Johku admin. There is nothing to order separately. The guide is in Johku Support: How to anonymize old customer data in Johku (in Finnish).
